Guests & regulars

Every guest's visit history, tags and notes, plus a win-back list driven by each regular's own return rhythm.

For humans

Scenario: a regular books for Friday. The floor wants to know: how often do they come? Where did they sit last time? What don’t they eat? None of that should live in anyone’s memory — as long as a guest has left a phone number when booking or being seated, the system builds their record in Guests automatically.

Guests: visits, no-shows, and last visit

Each guest’s profile

Click anyone to open their profile: visit count, no-show count, contact details, plus three things you maintain yourself:

  • Tags — free-form, comma-separated: “VIP, no beef, window seat”. Tags show in the booking details dialog, so the floor is briefed before the guest walks in.
  • Notes — a written record only staff can see.
  • Block — phone numbers with malicious no-shows can be blocked from booking online again (they’re marked ⛔ on the reservations list).

The Regulars tab (Pro)

Guests with three or more visits enter the Regulars tab. The point isn’t the list — it’s each person’s own rhythm: a guest who averages every 6 days going quiet for 20 means something completely different from a once-a-month guest skipping three weeks. The system sorts regulars into three statuses accordingly:

Regulars tab: return status, churn risk, and value

  • On track — still inside their own return cycle.
  • Due soon — just past their usual rhythm; the single best moment to act.
  • Lapsed — long overdue; high churn risk.

Churn risk scores each guest 0–100 (hover to see why), and Value estimates the covers they bring in a year — together they tell you who to contact first.

Winning back a regular

Press Reach out to open the action dialog. We don’t send canned messages on your behalf — a regular deserves your own voice. The dialog offers a few ideas (a gift card, a small treat on their next visit, a friendly message, a quick call); contact them your way, then press Mark as contacted and the guest drops out of the reminders for a while so nobody gets double-pestered.

Reach out dialog: contact them your own way

The regulars nudge on Overview (“17 regulars are overdue to return”) comes from here — handling one or two a day beats a giant marketing blast once a year.

The free plan includes the full guest list and profile editing; regular statuses, churn risk, value, and the diner profile are part of Pro’s AI insights.
